Handover checklist for a new Commercial property

When taking possession of a newly built commercial property, it’s important to perform a thorough handover inspection to ensure that everything is in order before moving in. Here is a checklist of items to consider during the handover process:

Verify completion: Ensure that all construction work is completed and that the property is ready for occupancy. Its a good idea to study the plans, specifications and list of inclusions before attending the inspection.

Inspect the exterior: Check the exterior of the building for any signs of damage or defects, including cracks, leaks, or other issues.

Inspect the interior: Inspect the interior of the building, including walls, ceilings, floors, and finishes, to ensure that everything is in good condition. record any defects with notes and photos. Mark paint defects with masking tape so its easier for the painter to locate them. Put the tape a few centimeters from the defect so the tape doesn’t cover the defect.

Test all systems: Test all building systems, including HVAC, electrical, plumbing, fire protection, and security, to ensure that they are functioning properly. Use a Specialist contractor to check them if you are not sure what to check. You will need to set up a service contract for things like Fire protection equipment, air conditioning and a lift if there is one installed.

Verify Approvals: Confirm that all required approvals have been obtained and that the building is up to code. Ask for a copy of the Certificate of Occupancy. In fact, a copy of the Certificate should be displayed inside the building near the front entry. This used to be called the ‘certificate of classification’.

Review warranties and manuals: Review all warranties and manuals for building systems and equipment to ensure that you understand how to operate and maintain them. Ask the Builder to supply a maintenance manual and product information sufficient that you can manage the building. Supply this information to your Property Manager if you are leasing the Property. Add all major warranties to your Calendar so you don’t forget these dates.

Check for cleanliness: Ensure that the property is clean and free of debris before moving in. Windows should be cleaned.

Final walk-through with Builder: Schedule a final walk-through with the Builder to discuss any defects, omissions or concerns before taking possession of the property. Defects and omissions that you agree with the Builder should be noted in a list. Defects and omissions that you raise with the Builder and they do not agree with should be noted in a separate list. Take photos of all the defects. Unless you have extensive experience in new construction standards and a reporting system, its a good idea to have a Handover inspection done at Practical Completion by a professional Building Inspector or Building Consultant.

Make sure you have taken out insurance on the property.
